We are looking for an enthusiastic and detail-oriented People Operations Generalist to join our People Team. This role is responsible for the execution of a mix of day-to-day tactical and strategic initiatives, including payroll support, benefits, and compliance within the organization. Reporting to the CFO, this role is pivotal to the operation of the company and will require daily interaction with the People and Finance teams as well as other cross-functional groups to ensure cohesion across different functional areas. While there will be a focus on HR compliance and an exceptional employee experience, the People Operations Generalist is an out-of-the-box thinker who has a high level of communication building meaningful relationships with stakeholders and an ability to autonomously drive projects from start to finish. What You Will Do:
People Operations Support
- Partner with Whip’s People Operations Generalist on day-to-day HR administrative tasks.
- Ensure the accuracy of payroll, including but not limited to: base pay, bonuses, commissions, payroll taxes, employee changes, new hires, 401(k), medical, HSA, FSA, and other deductions
- Assists with any pre-process payroll tasks, including time card management
- Keep up to date with state information in relation to payroll, and ensure states are open or closed in accordance with our employee population.
- Ensure accuracy of all HRIS records, and records history in our HR systems.
- Administer all employee benefits programs such as Medical, Dental, Vision, and Life Insurance plans, Disability, FSA, 401(k) etc., as well as lead annual open enrollment
- Create and design communications throughout the year to provide education surrounding the best-in-class benefits that Whip offers
- Evaluate wellbeing funds and offerings every year, to provide the best comprehensive options for our staff
- Manage relationships with 3rd party vendors, including but not limited to Sequoia
- Provide support for all benefits-related communications to highlight and educate employees on Whip’s benefit programs and payroll
- Support administration of company-wide HR policies, procedures, and practices in accordance with company goals and federal/state/country legal requirements
- Manage and administer leave programs and policies in accordance with the applicable federal and state employment laws (FMLA, ADA, CFRA, FFCRA, Parental Leave, etc.) and leave payments, workers compensation claims, and unemployment claims
- Be the main point of contact and liaison between Whip and employer of record partnership, ensuring accurate records and timely processing of invoices and payrolls.
- Oversee Immigration, including liaising with legal partners and handling queries from managers and employees, as well as providing guidance on all immigration-related matters, including visa processing, documentation, visa options, risks, etc.
- 401(k) administration, including annual audit and committee meetings
- Manage HR audits and filings related to EEO-1 reporting and benefits compliance
- Partner with the People Operations Generalist to continuously ensure a seamless employee onboarding and offboarding experience
- Collaborate with internal stakeholders to align on people programs that build employee engagement and retention
- Cross train with the People Operation Generalist to ensure coverage of other HR functions such as recruitment coordination, onboarding, and offboarding processes.
- Assist with the comprehensive onboarding process, including scheduling and conducting new hire orientation sessions, serving as the secondary facilitator to lead these sessions when needed, and distribute post-hire surveys.
- Prepare ad-hoc reports containing confidential employee information for the People team or Executives as needed.
- Fields employee questions in a timely manner and with a high level of customer service.
- Help with internal communication and post information on Confluence (internal tool).
- Oversee day-to-day remote office operations, including vendor relations, mail and communications.
- Participate in ad-hoc HR projects and initiatives aimed at improving HR processes and employee experience as needed.
Engagement and Culture
- Act as a culture ambassador, helping to foster inclusivity and community across teams.
- Lead and coordinate the planning of weekly company All-Hands meetings to ensure engagement, education, and important announcements are included to allow for transparency, company cohesion and enhanced morale.
- Gather and share feedback from employees to continuously improve engagement initiatives.
What You Will Bring:
- 3-4 years of relevant payroll/benefits administration, payroll audit, and the application of best practices
- Bachelor's degree in Human Resources, Business Administration, or related field preferred, or equivalent combination of education and experience
- 4+ years of HRIS payroll systems experience; Paylocity preferred
- Professional experience in high-growth, fast-paced organizations with multiple states/countries
- Experience with 401(k) and LOA processes
- Strong understanding of Federal and State regulations, in addition to DOL compliance
- Knowledge of workers compensation management
- Strong organizational skills with the ability to manage multiple tasks simultaneously and prioritize effectively to meet deadlines.
- Excellent communication and interpersonal skills, with the ability to interact confidently with candidates, employees, and team members at all levels
- Comfort speaking in front of groups and leading discussions
- Proficiency in HRIS systems and digital file management, with a keen eye for detail to ensure data accuracy and compliance
- Demonstrated ability to drive employee engagement through surveys, wellness campaigns, and other initiatives, with a creative approach to problem-solving
- Commitment to upholding confidentiality and handling sensitive employee information with discretion and professionalism
- Knowledge of employment laws and regulations, with a commitment to staying updated on industry trends and best practices
- Ability to work collaboratively within a team environment and contribute positively to the overall culture and success of the organization
- Proven ability to adapt and quickly change direction when necessary in a fast-paced, dynamic environment and to be effective under pressure
- Positive energy and a can-do attitude, with a commitment to fostering a collaborative, growth-minded work environment.
- Prior experience in conducting new hire orientations, managing onboarding paperwork, and providing exceptional customer service to ensure a smooth onboarding process is a plus
- Proficiency with MS Office Suite, G Suite, and experience with ATS is a plus

The anticipated annual base salary for this position is $85,000 - $100,000. Additionally, you will be eligible to participate in our robust medical, dental, vision, retirement, and other benefits. The actual base salary offered depends on a variety of factors, which may include as applicable, the location in which the applicant lives and/or from which they will be performing the job, job-related skills, experience, relevant education/certifications or training, and balancing internal equity relative to peers at the company.
