JOB SUMMARY:

This position is responsible for providing administrative support for systems operations team in the respective office location.

ESSENTIAL FUNCTIONS:

  • Payroll entry: Review &check for corrections, keep track of expenses & receipts
  • Collect dailies from the Start-up techs weekly for review by job number
  • Update weekly Manpower Labor Tracking Reports
  • Keep track & update of Department Computer Assignment List
  • Filing Batch Files/Work Orders using Document Imaging
  • Filing all Start up reports, Air Balance reports & Warranty Letters using the Wennsoft Program
  • Type, review, make corrections Start-up reports & Air Balance Reports
  • Print & scan coded prints using a plotter machine as needed.
  • Ensure that all ABB Warranty Registration Forms are filled out and sent to appropriate parties
  • Maintain file for all New Jobs and Contract Registers
  • Manage Air Balance calibration certificates in a paper filing system and in digital format
  • Keep track of instrument calibration tests & what is due for calibration
  • Keep track of which truck each tech drives, registration expiration dates, etc.
  • Process new hire and separation paperwork for all union employees
  • Add new jobs & budget hours to Labor Tracking
  • Manage ordering of office supplies
  • Other tasks as assigned by supervisor

EDUCATION AND EXPERIENCES:

  • High School diploma or equivalent
  • Data entry experience. Must be able to type 50 wpm with minimal mistakes
  • Well organized and able to organize information into easy to reference systems
  • Ability to multitask
  • Team player
  • Goal oriented
  • Ability to handle pressure and hectic pace
  • Strong written and oral communication skills
  • Strong phone background
  • Experience in the contracting or construction fields preferred
  • Experience with service dispatching preferred
  • Experienced in customer service
  • Working knowledge of Microsoft Excel, Microsoft Word,
  • Knowledgeable in Gmail, Google Applications (Google Drive; docs, sheets, etc.), PDF Writer, BlueBeam, Box
  • Document Imaging/Electronic document control
  • Wennsoft (Construction Billing software)
  • Construction experience is a plus

  • The employee may regularly lift and /or move up to 10 pounds, and occasionally lift and/or move up to 30 pounds.
  • Specific vision abilities required by this job include Close vision and Distance vision.
  • The auditory/hearing abilities required by the job include ability to hear customers calling by telephone.
  • While performing the duties of this Job, the employee is regularly required to stand; use hands to finger, handle, or feel; reach with hands and arms and talk or hear.
  • The employee is regularly required to walk and sit; climb or balance and stoop, kneel, crouch, or crawl (for purposes of filling photocopier/printers).
  • As the employee maintains and orders supplies, the employee is occasionally required to reach above shoulder height to access storage cabinets and mail cubicles.

HOURS:

Monday through Friday beginning between 6:00 am and 7:00 am and ending between 4:00 pm and 5:00 pm, with one hour for lunch. Eight hours per day is required, and occasional overtime may be necessary due to business needs.

TRAVEL:

O – 5% of the time to and from the assigned office location to regional branch offices and/or to project/customer site(s).

Competitive Wages: 

$24.74 to $32.64 per hour. Applicants please note that actual compensation is determined by several factors that are unique to each candidate, including but not limited to job-related skills, depth of experience, certifications, relevant education or training, and specific work location, among others. The offered wage or salary is only one aspect of an employee's total compensation.
