About the Position:
The Wholesale Operations & Systems Manager is responsible for managing the operational backbone of SCOUT’s wholesale business. This role oversees Orderful EDI Management, NuORDER, MarketTime , drop ship operations, inventory flow, weekly reporting, key account coordination, and compliance support. Working cross-functionally with sales, operations, and inventory teams, this position ensures that SCOUT’s wholesale operations remain efficient, data-driven, and customer-focused.
Essential Duties and Responsibilities:
Key Account Coordination
- Serve as the primary operational contact for key accounts, ensuring smooth order processing and issue resolution.
- Oversee key account customer record set-up & compliance, ensuring adherence to partner requirements.
- Work closely with the KAM (Key Account Manager) to delineate responsibilities, supporting strategic account management while driving operational execution.
- Partner with sales to align operations with promotions, new product launches, and seasonal demand.
- Manage inventory allocation to wholesale accounts, ensuring stock availability and timely fulfillment.
- Support the analysis of key account sell-through retail sales reports and provide data-driven recommendations on inventory management, reorder strategies, and sales opportunities to the Key Account Manager (KAM)
EDI & Systems Management
- Oversee Orderful management, ensuring seamless processing, tracking, and flow of orders. Set up, maintain, and manage; ensuring seamless order processing and communication with retail partners.
- Own SCOUT’s presence on wholesale platforms (NuORDER, MarketTime, etc.), including:
- Execution of new products
- Ensuring optimal performance
- Hotspotting catalogs
- Inventory management
- Oversee the management and accuracy of all reporting dashboards and data flow.
Drop Ship & Marketplace Coordination
- Manage drop ship programs, ensuring smooth execution, compliance with partner requirements, and seamless platform flow.
- Monitor performance metrics and troubleshoot operational challenges with drop ship and marketplace partners.
Inventory & Data Management
- Monitor stock levels and communicate potential risks or overages to internal teams.
- Oversee weekly inventory reporting and management to ensure accuracy in forecasting and replenishment.
- Manage WHLS active SKU status, keeping all product information up to date.
- Ensure Tableau workflows and reporting dashboards maintain accurate data flow across teams.
Compliance & Process Improvement
- Support compliance requirements for wholesale partners, ensuring SCOUT meets all operational and logistical standards.
- Continuously analyze workflows to identify efficiency gaps and implement process improvements to optimize operations.
Knowledge, Skill, and Experience:
- Proven experience in wholesale operations, supply chain management, or a related field.
- Strong understanding of EDI, CRM, ERP, and inventory management systems.
- Hands-on experience with NuORDER, MarketTime, and drop ship platform management.
- Excellent organizational and problem-solving skills with a keen attention to detail.
- A data-driven mindset, with the ability to interpret analytics and optimize processes.
- Strong verbal and written communication skills, with the ability to collaborate across teams.
- Ability to work independently while maintaining strong cross-functional alignment.
- A bachelor’s degree in business, marketing, or a related field is a plus!
