Overview 

The Sales Operations Specialist, Contract Administrator delivers essential support services to both our customers and CenTrak’s sales organization, enhancing sales productivity and effectiveness.  With a focus on contracting, you will be responsible for contract administration and general legal document organization, i.e. track/log each contract request throughout the entire process, manage forms/templates, input contracts into our contract management system, maintain and file records and most importantly, act as a liaison between our sales and legal teams Additionally, you’ll be expected to assist in other areas of the business such as supporting requests for RFPs, GPO (Group Purchasing Organization) administration tasks, and general sales operations support (i.e. price book management, SalesForce reporting, etc.)  

Responsibilities  

 

Contract Administration 

  • Provide contract support to Sales Director(s), Certified Resellers, and Enterprise Account Managers 

  • Act as a liaison between the sales, sales operations and legal teams within CenTrak 

  • Track key milestones of each contract during the entire sales process   

  • Maintain detailed contract records, generate reports and provide updates to all appropriate stakeholders as needed  

  • Provide necessary support for any potential RFP (Request for Proposal) using Loopio  

  • Administer and support the Group Purchasing Organization (GPO) Account Lead for all CenTrak’s GPO Agreements (4) 

  • Provides sales and Partner support answering questions about agreement terms, pricing, etc. 

  • Assist in evaluating, developing, and managing a comprehensive contract management system 

 

General Sales Operations Support Services 

  • Price Book Management Support  

  • Assist in quarterly preparation of reseller partner price lists for channel sales team 

  • Assist in quarterly update of Price Books in iQX (CPQ System) 

  • CRM (Salesforce) Admin & Documentation Support 

  • Build and run basic SalesForce reports and dashboards as needed  

  • Clean various data sets in Microsoft Excel using Power Query for analysis purposes 

  • Maintaining consistency and accuracy of data for the sales team in CenTrak’s CRM, Salesforce, including data like Partner Levels, GPO contracts, SMA/AMA renewals, etc.  

  • Software Maintenance Agreement (SMA) Renewal Quoting 

  • Provide support as needed with SMA renewal quotes, order tracking and PO processing  

 

Qualifications & Skillsets 

  • Bachelor’s Degree preferred 

  • 3+ Years’ work experience ideally in an administration role, sales, or sales operations  

  • Proven track record of managing contracts through the entire sales process 

  • Proficient in use of Microsoft Office suite of products; highly proficient in use of Microsoft Excel a plus including the use of Pivot Tables and Power Query  

  • Experience using Salesforce or equivalent CRM highly desirable 

  • Experience using Loopio RFP Software is a plus 

  • General knowledge of Group Purchasing Organizations in healthcare desired 

  • Exceptional communication skills  

  • Must be highly organized and be attentive to detail 

  • Adaptable, coachable and efficient 

  • Self-starting with solid follow-through and multi-tasking capabilities 

  • Healthcare technology experience, for ex. clinical software, medical device, nurse call, RTLS, environmental monitoring, or security solutions (elopement) background is a plus.
